How Ace Drive runs a WhatsApp concierge, and reaches back before you ask

A car rental decision is made in the moment. Is the car free this weekend, can I extend it, where do I collect it. Whoever answers first usually gets the booking, because the question is small enough that the renter will simply ask the next company on the list rather than wait.

Ace Drive, one of Singapore's leading car rental companies, runs its whole customer operation as a concierge desk on klink.cloud. Three in four conversations happen on WhatsApp, the median first response is about two and a half minutes, and roughly a third of all conversations are ones Ace Drive starts.

The customer

Ace Drive rents and leases from a fleet of more than 200 vehicles, for daily rental and long-term leasing. The promise is deliberately not "cheap car hire": it is a premium, hassle-free experience, branded as a concierge, with quick bookings, easy extensions and a helpful answer whenever a customer needs one, before, during and after a rental.

A promise like that is kept or broken in the messages. It is not a brand attribute you can assert on a website while a renter waits an hour for a reply about a pickup time.

The challenge: a concierge has to be instant

Ace Drive's customers overwhelmingly reach out on WhatsApp, but calls and emails still matter, and juggling those in separate tools produces exactly the two failures a concierge cannot afford: slow replies, and lost context when a customer moves between channels.

The fix was one desk where all three live together, so every renter is answered quickly, in one thread, and the team can reach back out rather than only reacting.

Where renters actually reach them

  • WhatsApp, 75%.
  • Phone, 18%.
  • Email, 7%.

Three quarters on WhatsApp is a strong enough tilt that it decides how the desk is built. But the remaining quarter is the part that usually goes wrong elsewhere: a renter who called on Monday and messages on Friday is one customer with one history, not two tickets in two systems. Calls and emails land in the same workspace as the WhatsApp thread, so switching channel does not restart the conversation.

The part that makes it a concierge

Most support desks are entirely reactive: something breaks, a customer writes in, someone answers. Here about one conversation in three goes the other way. Confirmations when a booking is made, reminders before a pickup, follow-ups after a return, all sent from the same desk that handles the inbound questions.

That is the difference between support and service. A renter who gets a confirmation and a pickup reminder never has to ask whether everything is in order, so a whole category of anxious inbound question stops being asked at all. It also means the outbound message and the reply that follows it sit in the same thread, rather than a no-reply notification arriving from a system nobody can answer.

Why it matters

The booking goes to the fast reply. In rentals the first helpful answer often wins the customer outright, so meeting renters on WhatsApp and answering in minutes protects revenue directly rather than protecting satisfaction scores.

One conversation, full context. WhatsApp, phone and email in one thread means no repeating yourself and no dropped details, which is the actual difference a customer notices between a concierge and a call center.

Proactive feels premium. Reaching out with confirmations and reminders turns ordinary support into the attentive service a premium brand is judged on, and it costs less than fielding the questions it prevents.

If your customers message more than they call

Rental is a clear case of a general pattern: a small, time-sensitive question, asked on WhatsApp, where a slow answer loses the sale to whoever replies first. The businesses that win those are not the ones with the biggest support teams. They are the ones where messaging, calls and email are one desk rather than three inboxes.

klink.cloud brings them together, keeps the context across channels, and lets a lean team reach out proactively as well as answer. Book a demo and we will map your channels and your response targets onto it.
